Terms & Guidelines for Participating VendorsI. Rental Fee
The rental fee for the three-day event per vendor is as follows:
Vendors rental fee: P2,500.00 (3 days)The rental fee is inclusive of one table, the use of utilities and entrance fees for two people. The vendor must settle the full rental payment by March 5, 2025.Refunds or cancellations will not be entertained once partial or full payments have been given. No registered receipt will be issued to the vendor since Crosswalk Food Fair is a non-profit event.II. Vendor Hours
The time of Crosswalk Food Fair is from 10:00AM to 8:00PM on all days. The vendor must remain present during all hours of the event. Packing up/closing down of booths before the Food Fair ends is not allowed unless for emergencies. Should the need to do so arises, inform the event committee immediately.III. Vendor’s Booth/Areaa. Booth DisplayThe vendor is responsible for the installation of all merchandise and/or equipment. The vendors are allowed to utilize the provided display, so long as it doesn’t interfere with the provided signages and with the other booths. However, the use of nails, staples, push pins and/or thumbtacks are not allowed.All vendors are required to have alcohol or sanitizer dispensers/bottles present on the booth which should be ready for use by you and your customers.Setting up of the vendor’s booth can be done a day before the event (April 9, 2025) anytime between 10:00AM to 5:00PM. If you wish to do so, contact or inform the event committee so as to assist you. Vendors are allowed to bring their equipment or materials on the said date and time as long as it is kept in boxes or containers with proper label’s of the vendor’s name.Upon packing up at the end of the first day of the event, vendors can choose to leave their equipment or materials at Crosswalk, provided that it is stored orderly at the designated area.
The location of your booth will depend on electrical or power needs.b. Equipment Needs
Each vendor will be provided with one table, one table cloth, and chairs. You may bring an additional table, shelves and/or racks as long as it will be placed only within your designated area, and will not interfere with the other booths and/or obstruct the aisles.It is the vendor’s responsibility bring their own extension cord/s, stoves, gas tanks/LPG, coolers (if applicable), lights, and all that you will need to set up and decorate your area.
Please make sure that all equipment brought by you are safe for use and will not cause any hazard or harm to the other vendors, attendees and to Crosswalk.c. Products/MenuVendors shall sell only such products as described in the submitted application form. We will try our best to ensure that items sold by one vendor won't be repeatedly sold by another.Prohibited items which vendors are strictly not allowed to sell include, but not limited to, are: alcohol, cigarettes, illicit and prescription drugs, pornographic or sexually implicit items, etc.No drinks should be sold or given by any vendor, which includes service/bottled water, canned sodas, packed juices, and the like. All drinks will be sold by Crosswalk only.Since Crosswalk’s kitchen area is very limited, we will not be able to accommodate vendors who wish to wash any of their equipment or dine-in utensils. All products sold by each vendor should be packaged for take out or should be placed paper plates or bowls. Styrofoam and plastic packaging (except for plastic/reusable containers) are not allowed.d. Vendor’s Hygiene and AttireAll vendors are required to wear an apron, gloves, and face masks for the whole duration that they will be preparing food so as to avoid any contamination or spread of any unwanted bacteria or viruses. We strongly suggest that all vendors wear a uniform or any form of appropriate clothing that will represent your business.e. CleanlinessAll vendors are responsible for their own space thus, are required to keep their area clean and orderly.
Timely garbage disposal is absolutely necessary that is why trash bins will be provided and placed around Crosswalk grounds. The event committee will be going around during both days of the event at certain times to ensure the cleanliness of each booth and of the entire Crosswalk grounds.Two warnings will be given to vendors who fail to keep their area clean. If the failure to maintain cleanliness persists, the third warning will constitute a penalty fee of P1000.00.IV. Event and Booth PromotionsThe social media team for the Crosswalk Food Fair has created the needed elements to promote the event and has been doing so since the start of planning and preparations. This includes Facebook and Instagram Pages, an event page, posters and posts.As part of promoting the Crosswalk Food Fair, all vendors are required to also promote their brand as one of the participants for the said event on their respective Facebook and/or Instagram Pages. Digital posters can be provided upon request, and all social media and event links will be sent to you. We strongly encourage all vendors to also like, follow, and share all event pages and posts.Our social media team will be checking the vendor’s Facebook and/or Instagram Pages to ensure that promotions and/or posts are being made and shared by you.V. Other GuidelinesWithin the duration of the Food Fair, be mindful of your belongings and booth.
